The Role
Sales Administration Manager
The Sales Administration Manager will lead, motivate, and manage a team of two Sales Administrators, ensuring seamless sales support, accurate order processing for UK and international customers, and compliant, efficient management of export shipments. The role acts as the bridge between sales, production, logistics, and end-users
Responsibilities:
Team Leadership & Management (Team of 2)
- Supervise, train, and develop the sales administration team to ensure high performance and accuracy.
- Allocate daily workloads, manage team KPIs(order processing times, accuracy rates), and manage attendance.
- Foster a proactive team environment, ensuring collaboration between sales support and aftersales departments.
- S&OP Team Participation: Providing inputs regarding actual orders versus forecast, assisting in consensus demand discussions, and updating inventory records.
Sales Administration & Order Processing
- Oversee the end-to-end sales order process for the Mc WGC product, ensuring accuracy from quotation to delivery.
- Manage CRM system (e.g. MyMcConnel) to ensure accurate customer records, machine specifications, and sales pipeline tracking.
- Review customer contracts, and financial compliance (e.g., deposit payments) before submitting for production.
- Liaise with the factory/production team to track machinery availability and resolve stock shortfalls.
Export Shipment & Logistics Management
- Oversee the export process, liaising with freight forwarders and logistics providers to arrange transport for international shipments.
- Prepare and process comprehensive export documentation, including Commercial Invoices, Packing Lists, Certificates of Origin, and Bills of Lading.
- Ensure full compliance with current UK and international export laws, regulations, and customs requirements post-Brexit.
- Handle international compliance documentation(e.g., Phytosanitary certificates for relevant machinery).
Customer & Dealer Relationship Support
- Serve as the primary point of contact for key dealer accounts regarding order status, shipment tracking, and shipping queries.
- Resolve order discrepancies, damages, or delivery delays effectively.
- Support the sales team with administrative tasks, including organising documentation for agricultural shows, demonstrations, and dealer events.
Skills/Qualifications:
- Previous experience in Sales Administration and Export Management (preferably 3+ years).
- Experience within agriculture, plant machinery, or heavy engineering manufacturing is highly desirable.
- Export Compliance: Strong knowledge of export documentation, shipping regulations, and Incoterms.
- Experience supervising or mentoring a team.
- High proficiency in Microsoft Office (Excel) andERP/Dealer Management Systems
